Delta Software Private Limited (“Delta Software”, “we”, “our”, or “us”) operates the eTMS platform, including mobile and web applications used for employee transportation management. This Privacy Policy explains how we collect, use, store, share, and protect information in connection with:

• eTMS Drive – the mobile application used by cab drivers
• eTMS Buddy – the mobile application used by employees / corporate transport users
• eTMS Web Application – the web-based application used by employees and transport management teams to place and manage transport requests

By using these applications or services, users acknowledge the practices described in this Privacy Policy.

1. Scope of This Privacy Policy

This Privacy Policy applies to personal and operational data processed through the eTMS platform, including data relating to:

• Cab drivers using eTMS Drive
• Employees / corporate transport users using eTMS Buddy
• Employees and transport management teams using the eTMS Web Application
• Organizations using eTMS for employee transportation management

2. Information We Collect

We collect only such information as is reasonably necessary for employee transportation management, transport request handling, trip execution, safety, communication, reporting, and related administrative purposes.

2.1 Personal Information

Depending on the role of the user and the organization’s implementation, we may collect the following:

• Employee name or driver name
• Employee ID or user ID
• Gender
• Address
• Geocode / geo-coordinates, including latitude and longitude
• Official contact information such as phone number and email address, where configured
• Department, office location, shift details, or other organization-specific profile information

Purpose: To identify users, allocate and manage trips, support routing and transport operations, and enable communication where required.

2.2 Location Data

We may collect location-related data in the following ways:

• eTMS Drive: Real-time and background GPS location during active trips, as required for trip tracking and monitoring
• eTMS Buddy: Location data where applicable for trip visibility, pickup coordination, safety, or service-related functions
• eTMS Web Application: Location information entered by users, such as pickup points, drop points, addresses, transport request locations, and related geocodes

Purpose: To facilitate route planning, trip assignment, employee pickup and drop management, live monitoring, and safety-related transport operations.

2.3 Driver and Vehicle Information

For eTMS Drive and related operational workflows, we may collect or process:

• Driver identification details
• Assigned vehicle information
• Vendor or operator association
• Trip duty and assignment details

Purpose: To support fleet operations, driver assignment, vendor coordination, and transport execution.

2.4 Trip and Transport Request Data

We may collect and process transport and trip-related information, including:

• Transport requests submitted through the eTMS Web Application or eTMS Buddy
• Pickup and drop addresses or locations
• Requested date and time of travel
• Shift or roster-related travel information
• Trip schedules, route information, stop information, and trip events
• Trip start and end timestamps
• No-show, cancellation, boarding, deboarding, and related operational events

Purpose: To manage transport requests, plan and execute trips, maintain service records, and generate operational reports.

2.5 Device and Technical Information

When users access our mobile or web applications, we may collect technical information such as:

• Device model and operating system version
• Browser type and version
• Application version
• IP address
• Diagnostic logs, crash logs, and usage logs

Purpose: To maintain platform security, monitor performance, troubleshoot issues, and improve service reliability.

2.6 Communications and Support Information

Where users contact us or their organization through the platform or support channels, we may process:

Specifically, the eTMS platform does not collect or process:

• Medical records

If an employer or customer organization maintains health-related information in its own internal systems, such information is outside the scope of this Privacy Policy unless separately processed through the eTMS platform.

4. How We Use Information

We use the information collected through the eTMS platform for legitimate business and operational purposes, including to:

• Register and manage users
• Create, review, approve, and manage transport requests
• Assign trips, vehicles, drivers, and routes
• Provide real-time trip visibility and operational monitoring
• Support employee pickup and drop coordination
• Enhance safety and compliance within transport operations

• Troubleshoot service issues and improve system performance
• Comply with contractual, legal, and regulatory obligations

5. Legal Basis and Organizational Context

The eTMS platform is generally deployed by employer organizations or their authorized transport service providers for employee transportation management. In many cases, personal data processed through the platform is processed under the instructions of the relevant employer organization or customer.

Delta Software processes information for service delivery, system administration, security, maintenance, support, and related business purposes, subject to applicable agreements and law.

6. Data Sharing and Disclosure

We do not sell personal data. We may share or disclose data only as reasonably necessary in the following cases:

6.1 Employer Organizations and Authorized Customer Administrators

Data may be made available to the employer organization or authorized administrators using the eTMS platform, in order to administer transportation services, manage users, review transport requests, monitor operations, and ensure compliance with internal policies.

6.2 Authorized Transport Vendors and Operators

Data relevant to trip execution may be shared with authorized transport vendors, fleet operators, dispatch teams, or driver management personnel for operational purposes.

6.3 Service Providers

We may use trusted service providers for hosting, infrastructure, communication, support, analytics, or mapping-related services, strictly to the extent necessary for platform functionality.

6.4 Legal or Regulatory Requirements

We may disclose information if required to do so by law, court order, governmental authority, or valid legal process, or where such disclosure is necessary to protect legal rights, security, or safety.

We use reasonable technical, organizational, and administrative safeguards to protect information, including:

Subject to applicable law and organizational controls, users may be able to:

• Request correction of inaccurate or incomplete information
• Request deletion or restriction of processing, where applicable
• Raise concerns regarding use of their information

Since the eTMS platform is deployed and controlled by employer organizations, such requests are required to be routed through the respective employer, customer organization, or authorized transport administrator.

Delta Software will support such requests in accordance with contractual agreements with the relevant employer organization or customer and applicable laws.

In certain cases, direct requests may also be submitted to Delta Software using the contact details provided below; however, fulfillment of such requests may require authorization or action by the relevant employer organization or customer.

10. Permissions and Access Used by the Apps

10.1 eTMS Drive

eTMS Drive may request permissions such as:

• Foreground and background location access for trip tracking and monitoring
• Internet access for communication with backend systems
• Other essential device permissions required for app functionality, diagnostics, or secure operation

10.2 eTMS Buddy

eTMS Buddy may request permissions such as:

• Location access where needed for trip-related functionality
• Internet access for transport request, trip status, and communication features

10.3 eTMS Web Application

The eTMS Web Application may process information entered by users in browsers, including transport request details, user account details, and usage information necessary for secure access and service delivery.

11. Cookies and Web Technologies

The eTMS Web Application and related websites may use cookies, session tokens, or similar technologies for authentication, session management, security, and essential website functionality.

Such technologies may also help improve usability, remember preferences, and support secure access to the system.

12. Third-Party Services

Our platform may integrate with or depend on third-party services such as cloud hosting providers, map or geolocation service providers, communication gateways, or analytics and support tools.

These service providers are used only to the extent required for platform operation and service delivery.

13. Children’s Privacy

The eTMS platform is intended for use by authorized adult users in connection with employee transportation services. It is not directed to children.

Depending on the hosting or support model used for a particular customer deployment, information may be processed in data centers or support environments located in one or more jurisdictions, subject to applicable contractual and legal safeguards.
